Zoom Events

Requirements for Participating in a Zoom Event

We typically require participants to have access to audio, a microphone, video, and a camera to participate in a Zoom event. Please check you invitation for specific requirements.

We recommend using the desktop application whenever possible. Zoom also supports the Chrome, Firefox, Edge, and Safari browsers (listed in order of Zoom preference). Click Here to see the latest system and browser requirements for Zoom.

Test Your Tech

When you get a Zoom invite, it’s helpful to test your tech before the meeting starts.

  • Launch the application or browser to check for updates

  • Double check your system security settings

  • Troubleshoot any video or audio connection issues.

Join a Test Meeting

This is the best way for new and experienced zoom users alike to test their setups on your own before you join a zoom event. Check out this helpful article from Zoom for more information about how to join a test meeting and check your setup.


Joining a Zoom Event

Your event invitation should have included a Zoom link. Using that link is the best easiest and quickest way to join an event. There are two ways to join using your event link:

Using a Link, Launch the desktop application

If you already have the Zoom desktop app installed on your device, then continue with the app and select “Open zoom.us”

Using a link in a Browser

If you prefer not to install the Zoom desktop app on your device (or are restricted from downloading the app), you will need to join using the browser link. Select “Cancel” at this prompt. Select the “Join from Your Browser” link.

Join the meeting by entering your Full Name and providing the passcode, if required. The facilitator or producer will admit you from the waiting room or you will enter the class directly.

Select “Join with Computer Audio”, or follow the instructions for joining the audio via phone once you are inside the meeting.

 

Change Your Display Name Inside the Meeting

To change your name after entering a Zoom event, click on the “Participants” button at the bottom of the Zoom window.

Next, hover your mouse over your name in the “Participants” list on the right side of the Zoom window. Click on “Rename”.

Enter the name you’d like to appear in the Zoom meeting and click on “OK”. To receive credit for the training, please include the name on the roster as a part of your display name.

Here is a quick list of controls and features that you have access to as an attendee.

Audio Settings

Join Audio or Unmute/ Mute: Mute and unmute your microphone.
Audio Controls (click the ^ arrow next to Mute Unmute): Allows you to change the microphone and speaker that Zoom is currently using on your computer, leave computer audio, and access the full audio settings.

Tip: Use the following keyboard shortcuts to mute or unmute yourself. You can also use push to talk if you want to unmute yourself by holding the spacebar.

  • Windows: Alt + A

  • Mac: Shift + Command + A

Video Settings

Start Video  / Stop Video : Turns your camera on or off.
Video Controls (click the ^ arrow next to Start Video Stop Video): Change cameras if you have multiple cameras, select a virtual background (if enabled), or access your full video settings.

Chat and Non-Verbal Feedback

Chat : Access the chat window to chat with other participants.

Reactions Meeting reactions, nonverbal feedback, and Raise Hand allow you to communicate issues or feedback to the host or presenter without disrupting the meeting. These reactions are shown on your video panel and next to your name on the participants panel. 

Other Zoom Features

Participants: See who's currently in the meeting and invite others. You can also access these options by hovering over your display name and clicking More.

Leave: Leave the meeting while it continues for the other participants. Only the host can end the meeting.

Features with Limited Availability: The following features are available in Zoom but are often either unavailable or prohibited due to the nature of the events we produce. Check in with Franklin IQ Support to see if these are available during your event.

Annotations and Collaborative Whiteboards: When enabled by the host, annotate what is on the screen in real time.

Closed Caption or Live Transcript : When enabled by the host, click to start viewing either closed captions or the live transcript

Share Screen: Start a screen share (if the host allows). You will be able to select the desktop or application you want to share.

Recording: Start or stop a local recording. Participants do not have access to start a cloud recording.
