Joining a Teams Meeting
Learn more about joining a teams meeting, using reactions, and sharing your screen by watching this short playlist of video tutorials.
Download the App if you have not already, provided that your workstation or mobile device permits you to do so.
When it is time for the meeting, select Join Microsoft Teams Meeting from the meeting invitation.
ON THE WEB: That will open a web page, where you'll see two choices: Download the Windows app and Join on the web instead.
If you join on the web, you can use either Microsoft Edge or Google Chrome.
Your browser may ask if it's okay for Teams to use your mic and camera. Be sure to allow it so you'll be seen and heard in your meeting.
ON A MOBILE DEVICE OR TABLET: You must have the mobile application downloaded to successfully join the meeting. Download the App from your device’s App Store. Go back to the invitation and click the link to launch teams.
Enter your name and choose your audio and video settings. If the meeting room (or another device that's connected to the meeting) is nearby, choose Audio off to avoid disrupting.
When you're ready, hit Join now.
This will bring you into the meeting lobby. We'll notify the meeting organizer that you're there, and someone in the meeting can then admit you.
Notes:
If no one admits you to the meeting within 15 minutes, you'll be removed from the lobby. If that happens, you can try joining again.
Some features of Teams meetings aren't available to guests.
In Meeting Features
Chat and Non-Verbal Feedback
Chat or “Show Conversation” : Access the chat window to chat with the instructor or other participants.
Reactions and Non-Verbal Feedback: Raise your hand, like, applaud, laugh, or heart react to what’s going on.
Other Teams Features
Participants: Click the user icons to “show participants” and see who else is in the meeting..
Leave: Leave the meeting while it continues for the other participants.
Features with Limited Availability: The following features are available in Teams but are often either unavailable or prohibited due to the nature of the events we produce. Check in with Franklin IQ Support to see if these are available during your event.
Collaborative Whiteboards: When enabled by the host, collaborate with fellow participants in real time on Microsoft Whiteboard. Learn more here
Closed Captions: Go to your device settings and select “Turn on Live Captions” to get auto-generated captions in any Teams meeting. Learn more here
Share Screen: Start a screen share (if the host allows). You will be able to select the desktop or application you want to share. Learn more here
Troubleshooting
I'm having trouble connecting to the meeting
If you’re having problems accessing Teams, make sure that your Mac, PC, or mobile device can access other networks or internet content. If your computer is connected to the internet but Teams is still inaccessible, the service might be down. Check with Microsoft’s Support page to see if they are having problems with the Teams service.
People Can't See Me
If people in a meeting can’t see you, you may have your camera turned off or you might need to configure your camera settings.
- Ensure that your camera is toggled ON. If your camera still doesn’t display, continue to step 2.
- Select the More options menu . From the list that appears, select Show device settings.
- Make sure that the correct Camera device is selected from the Camera drop-down menu.
My Mic/Camera/Speakers Aren't Showing Up in Teams
If other applications can see your webcam and microphone, but Teams cannot, you may need to allow permissions for Teams.
ON A PC
To alter permissions on Windows 10, click the Windows Search Bar (located within the left side of the taskbar) then type in Webcam. After selecting Choose Which Apps Can Access Your Camera, make sure the toggle underneath Allow Desktop Apps to Access Your Camera is switched to the On position. Then scroll past the toggle to make sure that Teams and the browser apps you use to access the web version of Teams are included in the list of apps that have been granted this permission.
ON A MAC
To alter Teams’ permissions on MacOS, click the Apple Menu Icon in the upper-left corner of the screen, then choose System Preferences. From here, select Security and Privacy, then Camera — you may need to click the lock icon to make changes here. Ensure that Teams or the web browser you are using to access Teams is enabled.
People Can't Hear Me
If people in a meeting can’t hear you, you may have muted your mic or you might need to configure your mic settings.
Ensure that your microphone is not muted. If people still can’t hear you after unmuting your mic, continue on to step 2.
Select the More options menu . From the list that appears, select Show device settings.
Make sure that the correct Microphone device is selected from the microphone drop-down menu.
I Can't Hear Others
If you can’t hear others in your meeting, you may need to adjust the volume on your speakers or headset, or you might need to configure your speaker settings.
Select the More options menu . From the list that appears, select Show device settings.
Make sure that the correct Speaker device is selected from the speaker drop-down menu. Adjust to volume slider as needed.
Sound Cuts Out In the Middle of a Meeting
If your audio cuts out in the middle of a meeting adjusting your device settings as outlined in the “I can’t hear others” section above does not remedy the issue, please completely quit out of Teams and relaunch the program, then rejoin your meeting.
I Can't See Meeting Chat
Teams meeting organizers can choose to add a team channel to their meeting. This is convenient for meeting organizers, because members of the team will see the meeting on their calendar without the organizer inviting each person to the meeting individually.
People who are not members of the Team can still be invited to these meetings and are able to share video, audio, and other content. However, they will not be able to join chat, as they do not have access to the channel where the chat is held.
Chat Button Disappears
If your chat button goes missing in the middle of a meeting, please completely quit out of Teams and relaunch the program, then rejoin your meeting. If you are using a web browser, clear your broswer history, cache, and cookies. We recommend using a resource like clear my cache or reaching out to our Client Experience Team
